Information for external and internal examiners at Nord University.

Before grading

  • Students must register themselves for teaching and examination via Studentweb within given deadlines stated in the academic calendar. In case of problems, Student Records and Examination Office should be contacted at exam@nord.no. Students get access to their courses in Canvas when they are registered for classes.

  • The Student Records and Examinations Office is responsible for publishing exam dates to students under "Upcoming events" in Studentweb. Staff can find the exam dates in Fagpersonweb under "My courses" and "Assessment". The Student Records and Examinations Office and the Faculties collaborate on exam planning. This is an important part of the quality assurance of examinations at the university so that we avoid collisions and deficiencies.

    Duration of exams (adopted by The Education Committee June 17 2022):

    The standard start time will be at 9 am, and the standard submission time will be at 2 pm. In other words, an exam lasting three days will start at 9 am on day 1 and hand in at 14 pm day 3.

    Standards and definition of duration:

    • The exam within 1 day is stated as hours or minutes.
    • The exam with a duration of 1 to 2 days is given as hours.
    • Exams with 3 days or more are given as days.
    • The exam with a duration of 1 week is 7 days.
    • The exam with a duration of 2 weeks is 14 days.
    • For 7 or 14 day exams that start on a Monday, the submission time will be Monday at 2 pm - not Sunday.
  • The course coordinator is responsible for ensuring that the name and contact information for examiners is distributed to the Examination Administration no later than 8 weeks prior to the examination. 

    • The qualification requirements for examiners should be the same as the requirements for teaching the course. Particularly relevant work experience may be approved as a qualification. (sourced from the Norwegian Association of Higher Education Institutions (UHR)) 
    • External examiners may not be employed in a full-time or part-time position at the institution nor have had an engagement as a part-time teacher in the course in question for the examination group. Employees at collaborative institutions should not be used as external examiners if they have close ties to the academic community responsible for teaching the course.     • External examiners may not have been employed by Nord University over the last 10 months from the date of their appointment. (sourced from Section 10-2 (5) of the Regulations relating to Studies and Examinations at Nord University) 

    Any examiner (internal or external) must not be disqualified on grounds of partiality in relation to any of the examination candidates. 

  • The question sets must be universally designed.

    The question set issued in Norwegian must be written in Bokmål or Nynorsk in accordance with the language variant chosen by the examination candidate on registering for the examination cf. Regulations relating to Studies and Examinations at Nord University § 8-1 (3).

    Digital examinations in Inspera

    The course coordinator is responsible for creating the question sets in Inspera with standardised naming conventions: course code, course name and examination date.  For written on-site and take-home examinations question sets must be ready no later than two weeks prior to the date of the examination, and for assignments/thesis and portfolios question sets must be ready no later than four weeks before the submission deadline. The course coordinator is also responsible for sharing the question sets with the Examination Administration.

  • The course coordinator is responsible for the preparation of written examiner guidelines for all examinations.

    The course coordinator is responsible for ensuring that the examiner guidelines is uploaded to Inspera for digital examinations. The person who is to upload the examiner guide must have an examiner role on the exam in question.

    How to add examiner guidelines in Inspera:

    • Open the "Grade" tab.
    • Choose a topic.
    • Click "Options" in the upper right corner.
    • Click "Mark Scheme not found".
    • Upload from computer.

    For examinations with pen and paper the examiner guidelines shall be sent to the Examination Administration.

    The course coordinator is responsible for making the examiner guidelines available in Canvas to the candidates after the grades have been set. ​

  • When submitting master's thesis in Inspera, the students must fill out a form where they consent to whether or not the thesis can be published online. This is in accordance with Norwegian regulations on copyright.

  • If the examiner assignment involves being present at one of our campuses, Nord University urges the examiners to book travel and accommodation through the Berg-Hansen travel agency:

    ​Provide details of your travel and accommodation on your travel expense account and attach any relevant receipts/confirmations. Travel expense accounts are reimbursed in accordance with the Government Travel Allowance Scale.

Grading

  • Internal examiners log in with Feide. External examiners use ID-Porten.​

    Log in Inspera​

    Grades registered by the examiners in Inspera do NOT automatically go out to the candidates - Student Records and Examinations Office is responsible for announcing the grades after the grading has been completed in Inspera. Grading must therefore be completed in Inspera by 12.00 on day the grading deadline expires.

    Grading tools

    There are two grading tools in Inspera: Classic grading tool and the newest tool, Marking 2.0. Marking 2.0 is activated on most assessments from the spring of 2022.

    Log in Fagpersonweb​

    Joint grading can take place in two ways: All the examiners register separately or an examiner registers on behalf of the committee and the other examiners sign.  

    User instructions for examiner registration in Fagpersonweb can be found here (in Norwegian).

    NOTE! In Fagpersonweb, it is not possible to register failure to attend/not submitted. Do not enter anything for these candidates – let the field remain blank so that the Examination Office can register failure to attend/not submitted. Please confirm in a separate e-mail to the Examination Office which candidates this concerns. 
     The registration of mandatory participation and work requirements shall also be carried out in Fagpersonweb.

  • From Section 10-3 of the Regulations relating to Studies and Examinations at Nord University: 

    • Grades shall be announced no later than three weeks after the date of the examination.  
    • The grades for master’s theses shall be announced within six (6) weeks of the submission deadline. 
    • The grades for bachelor’s and candidate’s theses with a scope corresponding to at least 20 credits shall be announced within four (4) weeks of the submission deadline. 
    • For oral or practical examinations, the grades shall be announced no later than 24 hours after the last day of examinations for the course.  
    • The grades for written work with a subsequent adjustment after oral or practical examinations shall be announced no later than twenty-four (24) hours prior to the oral or practical examination. 

    The course coordinator is responsible for ensuring that the grades are readyby 12:00 on day the grading deadline expires. The general rule is that the external examiner decides when there is disagreement between the internal and external examiners.  

    If the grading deadline cannot be met due to special circumstances, the course coordinator, or possibly an internal examiner, shall inform the Student Records and Examination Office of the cause of the delay and when the grades will be available.

  • All written work delivered in Inspera is checked by the OURIGINAL plagiarism checker. 
    It is the responsibility of the internal examiner to check the percentage and read the plagiarism report in OURIGINAL.

After grading

Grading of appeals

  • Both internal and external examiners ​receive e-mails with notification that one or more students have requested explanation of grades in a course. 
    Notice is also given in Fagpersonweb. The external examiner is responsible for preparing the explanation of grades. The will not be sent any reminders. 

    Explanations are to be given in Fagpersonweb.  As of today, the explanation cannot be given in Inspera.

    Deadlines

    The student must request grounds for grades no later than one week after the grade has been published in Studentweb.

    The grounds shall be given in writing and normally within two weeks. For oral examinations or the assessment of practical skills, the grounds may be given orally.

  • The student can appeal grades for written examinations (including school examinations, take-home examinations, portfolio assessments and various theses). The deadline for students to appeal is three weeks after the grade has been announced in Studentweb / after the explanation is published.

    ​The assessment of oral performance and practical courses or the like, which, by their nature, cannot be reviewed, may not be appealed.
    ​The examination answer is forwarded to the Appeals Committee, which consists of two new examiners, at least one of which is external. Information on the procedure will be given by e-mail.  

    If the new grade differs by two or more grade levels from the original grade, a further assessment shall be made before the final grade is assigned. The new grade is final and cannot be appealed, cf. Section 5-3 (7) of the Act relating to universities and university colleges.
